Learn how to get the most from your new planner

Configure the Settings sheet

Select the ‘Settings’ sheet and enter the following information:

  • Meals: You may list the different meals you’ll be serving.
  • Tables: You may list the different meals you’ll be serving.
  • Task Status: You may rename one or more of the default Task statuses.
  • Task Priority: You may rename one or more of the default Task priorities.

🟢 Tip: To remove an entry in the Meals or Tables list, right click on the entry and select ‘Delete -> Table Rows’.



Start creating tasks

The ‘Tasks’ sheet allows you to manage all your tasks. Each task contains the following columns:

  • Task: Enter the name of your task.
  • Status: Select a status from the dropdown menu.
  • Priority: Select a priority from the dropdown menu. (P1 = Most urgent, P4 = Least urgent)
  • Budget: Enter the maximum amount you’re willing to spend.
  • Actual cost: Enter the amount you actually spent on this task.
  • Due date: Enter the date which this task should be completed by.
  • Notes: Feel free to leave a note or comment for this task (optional).

🟢 Tip: All dates must be entered in the following format: January 1, 2023

🟢 Tip: When the ‘Due Date’ value is equal to 3 or less, the number will appear in red.



Populate the Guest List

The ‘Guest List’ sheet allows you to manage all guests. Each Guest list row contains the following 5 columns:

  • Name: Enter your guests name.
  • Attending: Select an attendance status from the dropdown menu.
  • Meal: Select a meal from the dropdown menu if applicable.
  • Table: Select a table number from the dropdown if applicable.
  • Notes: Enter a note for each guest (optional).


Populate the Itinerary

The ‘Itinerary’ sheet allows you to clearly set your event’s programming schedule. This sheet consists of 3 columns:

  • Time: Times are pre-populated and can easily be edited if needed.
  • Location: Specify a location if applicable.
  • Activity: Describe what activity is taking place at your event during that timeframe.


    Frequently Asked Questions


  • Yes, you can easily apply filters on the ‘Tasks’ sheet.
    Simply click the Filter button at the top of the desired column and check or un-check any of the available checkboxes.
    Here’s what the filter menu would look like if you only wanted to see “In progress” Tasks:

  • Yes, simply click the ‘Filter button’ at the top of the column and select “Sort A to Z”.

  • You may highlight any cell that you would like to clear and hit the Delete key on your keyboard.
    It’s best to avoid deleting any of the ‘Days Remaining’ cells because they contain a formula.
    If you do delete one, simply copy any other ‘Day Remaining’ cell and paste it in the cell you deleted. This will restore the formula.

  • Your planner comes with 200 blank rows; however, you can add more by right clicking the last row and selecting “Insert -> Table Row Below”
